Note: The SMCR Module is only available to UK/EU Clients. The Accountability/SMCR Module must be Licensed to your system for this menu option to appear.

About Certificates

Each Certificates Record contains the Certificate information pertaining to a person.

Security

Access to SMCR Menus is restricted to Administrators, Administrators - Accountability, and Positions that appear in Work with Accountable People.

Administrators and Administrators - Accountability have view and full edit access to all records in the SMCR Module.

Positions that appear in Work with Accountable People have view access only to records.

The Certificates List page

The Certificates List page displays all Certificates records, less any record filtering you may have applied.

Click on any Certificates record 4 to open the Certificate details window.

ID Element Description
1 Page Navigation Panel Use the controls in this panel to move between List Pages and set the number of Records to display per-page.
2 ‘Enter_text_to_search…’ field Enter text here to search and filter the visible columns in the List 4 .
3 Column Headers Use the controls in the column headers to filter the Records.
Perform advanced filtering of the List to find particular Records.
4 Certificates List Displays the SMCR Certificates Records. Click on a row to see the Certificate page.
5 ‘Show Advanced Filter’ icon Click this icon to filter the Certificates List using the Filter builder.
6 ‘Delete Certificate’ icon Click the icon to delete the Certificate and all history. A ‘Confirm Delete’ dialog is displayed.
Note: Once you confirm the delete, the Certificate is immediately deleted along with its history and is no longer displayed in the Certificate 4 list. A Certificate cannot be undeleted.
7 ‘Show’ icon Click the icon to open the Show Personal Accountability page.
8 ‘Renew Certificate’ icon Click the icon to open the Renew Certificate window.
9 ‘Terminate Certificate’ icon Click the icon to open the Terminate Certificate window.
10 ‘New Certificate’ icon Click this icon to add a new Certificate via the ‘New Certificate’ window.
11 ‘Hide/Show Column’ icon Click this icon to display the Hide/Show Columns Chooser.
12 ‘Export’ icon Click this icon to export the List in Microsoft Excel or Word format.
13 Layouts Panel Use the controls in this panel to save and load different grid layouts. Click the Reset Grid icon to return to the default view.

The Certificate page

The Certificate page Details tab contains details pertaining to a persons Certificate.

ID Element Description
1 Certificate For Person Displays the person this Certificate is for.
2 ‘Entity’ field Display the Entity of this Certificate.
3 ‘Status’ field Displays the Status of this Certificate.
4 ‘Certificate’ field Displays the title of the Certificate.
5 ‘Detail’ field Displays the description of the Certificate.
6 ‘From’ and ‘To’ date Displays the date range of the Certificate.
7 ‘The Person…’ field Displays answers to questions about this person in relation to this Certificate.
8 ‘Create Renewal Task’ section Shows if a Renewal Task is to be generated and the number of days before the ‘To’ date (effectively the Certificate expiry date).
9 ‘Send email notification’ selector Click this checkbox to send an email notification when saving this Certificate.
10 ‘Save’ icon Click this icon to save the Certificate record.
11 ‘Cancel’ icon Click this icon to Close the ‘Certificate’ window.

Procedures

Accessing the Certificates records list

  1. From the main menu, click or mouse hover over the SMCR menu to see the SMCR menu items. Click Work with Certificates.

  2. The ‘SMCR Certificates’ List page is displayed. The default list shows Certificates with an ‘Current’ Status, shows Certificates for Positions that are not Obsolete. Click on a Certificate record to view its Details and Register record links.

Show Expired and Terminated Certificates

  1. On the SMCR Certificates list click the Status filter 1 icon. Current is already selected. If records exist with these statuses, select the Expired 2 and Terminated 3 statuses. Click the OK 4 button to display these Certificate records.

Show Obsoleted Position Certificates

Filtering and sorting of the List can be performed by hidden columns.

  1. Hover over, or click, the Menu Options icon. Click the Hide/Show Columns 1 option.

  2. The ‘Column Chooser’ window appears. Click the Obsolete Position filter 2 icon. Un-select the No 3 option. Click the OK 4 button to display these Certificates.

Add a new Certificate record

A Certificate record can be created from the Certificate List page.

  1. Access the Certificates list.

  2. On the ‘Certificates list’ page, hover over the Options Menu icon to display the options. Click the ‘New Certificate’ 1 icon.

  3. The ‘New Certificate’ window opens. Complete the Certificate details fields 1 through 9 as required. Note: Fields 2 and 3 will contain a default value. (See The Certificate Page elements for details on each field).

  4. Click the Save 10 icon to complete adding the new Certificate record. The Certificate List will display with this new record.
    Note: Clicking the cancel 11 icon will close the ‘New Certificate’ window without saving the record.

View and Edit Certificate details

  1. Access the Certificates records list.

  2. Click on a Certificate record in the list to open the The ‘Certificate’ page.

  3. If the Save 10 icon is displayed, you have security access to update the values on this Certificate record. Update the values 1 through 9 as required, then click the Save 10 icon.

Delete a Certificate record

Note: Only Administrators and Administrators - Accountability positions can delete a Certificate record.

Note: Certificate record delete is instant and permanent. All history is also deleted instantly. There is no Undelete functionality.

Deleting a Certificate is NOT recommended if you wish to retain the historic content of this record.

  1. Access the Certificates records list.

  2. Click on a Certificate record in the list to open the The ‘Certificate’ page.

  3. Click the Delete 1 icon.

  4. A ‘Confirm Delete’ dialog is displayed. Click Yes to delete the Certificate record, or click No to cancel.

Show Personal Accountability

  1. Access the Certificate records list.

  2. Click the Show 1 icon in the Certificate list.

  3. The Persons Details page will display from Work with Accountable People. View the details, then use the breadcrumb trail link to click back to the Certificate page if required.

Renew a Certificate

  1. Access the Certificate records list.

  2. Click the Renew Certificate 1 icon.

  3. To renew the Certificate, enter the From 3 and To 4 dates. Click the Send email notification 5 icon if required. Click the Save 6 icon to Save the Renew details. (Or, click the Cancel 7 icon to cancel.)

Terminate a Certificate

  1. Access the Certificate records list.

  2. Click the Terminate Certificate 1 icon.

  3. Enter the Termination Date 3 and the Reason 4 for Termination. Click the Send email notification 5 icon if required. Click the Save 6 icon to Save the Termination details. (Or, click the Cancel 7 icon to cancel.)

  4. The Certificate record will no-longer display the Terminate Certificate icon.

Certificate Links to Register records

SMCR Certificates can be linked to Register records. The linking and de-linking can only be done from the Register record.

Note: Edit access to the Register record is required to add Links to this record.

  1. Access the required Register records list.

  2. That Register List page is displayed. Click on the Register record to display its details.

  3. The ‘Register’ page is displayed with that record. Hover over, or click, the menu option (hamburger) icon, then click the Links 1 option.

  4. The Links window is displayed. Click the SMCR Certificates tab. Click on the Links 1 field to display this list of Certificates. Click on the required Certificate 2 to be linked. This Certificate will appear in the Links 1 field. Click the Link 3 icon to link that Certificate to this Register record.

  5. The Linked 1 record will appear in the SMCR Certificates linked list. (De-linking 2 from this record can, also, only be done on this tab.)

View Register Links from the Certificate

Register records linked to a Certificate can be viewed on the Links tab of the Certificate Details page.

  1. Open the Certificate detail window. Click the Links tab. All links will display in the list.
